To ensure a safe, fair, and enjoyable experience for everyone, the Sunshine Coast BC Sculpture Symposium has established the following agreements and guidelines. By participating as an artist, volunteer, sponsor, or donor, you acknowledge and accept these terms, which are designed to protect both participants and the event.

1. Artist Participation Agreement

Ownership & Sales

  • Sculptures remain the property of the artist unless sold.

  • Artists may sell their works during the symposium. Any commissions (e.g., 30% to the event) or prize details will be clearly outlined in the application.

  • Artists are responsible for managing sales and payments; any agreed commissions will be deducted at the point of sale.

  • Artists represent that their works are their own original creations and do not infringe on third-party rights.

Transportation of Sculptures

  • Artists are fully responsible for transporting materials and sculptures to and from the event site.

  • Event organizers do not provide transport or storage.

  • Artists should plan for safe handling, loading, and unloading, including vehicles, trolleys, or assistants as needed.

Safety & Carving Zones

  • Active carving zones are restricted to artists and authorized staff only.

  • Protective equipment must be used while carving.

  • Artists acknowledge that sculpting and handling materials can result in injury and assume full responsibility for their own safety and that of any assistants.

Promotion & Documentation

  • Artists grant the symposium permission to photograph, film, and share images or videos of their work and participation for marketing, social media, and event documentation purposes.

2. Volunteer Agreement

Responsibilities & Conduct

  • Volunteers agree to follow directions from event staff and respect all safety guidelines.

  • Tasks may include assisting artists, supporting visitor flow, or helping with workshops.

Safety & Liability

  • Participation is at the volunteer’s own risk.

  • Volunteers must use any required protective equipment and be mindful of surroundings.

  • Volunteers acknowledge that volunteering is unpaid and does not create an employment relationship with event organizers.

Promotion & Documentation

  • Volunteers may be photographed or filmed while performing duties. By submitting a volunteer form, volunteers consent to these materials being used for event promotion.

3. Sponsorship Agreement

Commitment & Recognition

  • Sponsors agree to provide the support they have pledged (monetary or in-kind) as outlined in their inquiry form or follow-up correspondence.

  • Sponsors grant permission to be listed in marketing materials, website, and event signage.

  • Sponsorship does not imply ownership of any artwork or event materials.

Changes & Cancellation

  • Sponsors understand that contributions are final and non-refundable.

  • Event organizers reserve the right to modify recognition placement or event details as necessary.

4. Donation Terms

  • All donations are voluntary and may be one-time or recurring as indicated on the donation form.

  • Donations help fund artist fees, materials, workshops, community engagement, and event operations.

  • Receipts will be provided where applicable for tax purposes.

  • Donors consent to being acknowledged publicly unless anonymity is requested.

  • Donations are final and non-refundable.

5. Safety, Risk & Liability

Assumption of Risk

  • Participants understand that sculpting, handling materials, and attending an outdoor event involves inherent risks, including injury, exposure to weather, or damage to personal property. By participating, individuals accept and assume all risks.

Liability Waiver

  • By participating in the Sunshine Coast BC Sculpture Symposium, all artists, volunteers, sponsors, donors, and visitors release and hold harmless the event organizers, staff, and affiliates from any claims, demands, or actions arising out of injuries, accidents, property damage, or other losses occurring before, during, or after the event.

Indemnification

  • Participants agree to indemnify and defend the Sunshine Coast BC Sculpture Symposium and its organizers against any claims, damages, or expenses arising from their actions, including the use of materials, tools, or sculptures during the event.

Medical Disclaimer

  • Participants are responsible for their own health and safety. Organizers are not responsible for medical emergencies. Those with health concerns should seek medical advice before participating.

Minors

  • Participants under 18 must be accompanied by a parent or guardian, who also agrees to these terms and assumes responsibility for the minor’s safety.

6. General Terms

Event Operations

  • The symposium is held rain or shine. Organizers are not liable for cancellations, delays, or modifications due to weather, natural events, or circumstances beyond their control.

Force Majeure

  • The organizers are not liable for cancellations, delays, or interruptions caused by circumstances beyond their reasonable control, including but not limited to natural disasters, pandemics, government restrictions, or emergencies.

Dispute Resolution & Governing Law

  • Any disputes arising from participation, sponsorship, or donation will be handled in accordance with the laws of British Columbia, Canada. Parties agree to attempt resolution through discussion before pursuing legal action.

Severability

  • If any provision of these terms is held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

7. Acknowledgement

By submitting a form or participating in the Sunshine Coast BC Sculpture Symposium, you acknowledge that you have read, understood, and agreed to the above terms.
